The following policies help ensure safety, clarity, and consistency for all patients.

1. Professional & Respectful Communication

Mental health treatment often involves strong emotions, stress, and frustration. These experiences are understood and respected. At the same time, respectful communication is essential for effective care. Threatening, abusive, discriminatory, or repeatedly hostile communication toward the provider will not be accommodated. In situations where communication becomes unsafe or inappropriate, services may be limited, rescheduled, or discontinued at the provider’s discretion to maintain a safe and professional care environment.

2. Insurance, Billing & Portal Balances

If you are using insurance, your patient portal may display a balance after an appointment is scheduled. This is a normal system-generated estimate and does not mean you have been charged.

Please note:

  • Claims cannot be submitted until services are completed.

  • Your final financial responsibility is determined by your insurance plan.

  • Deductibles, copays, and coinsurance are set by your insurance carrier.

  • The portal balance may change after claim processing.

Unexpected balances are most often related to plan benefits rather than billing errors. Patients are encouraged to verify benefits directly with their insurance provider.

3. Controlled Substances & Medication Management

This practice provides psychiatric evaluation and medication management when clinically appropriate.

Please understand:

  • Not all conditions require medication.

  • Not all medications are appropriate for all patients.

  • Prior treatment history, prescription monitoring review, and safety considerations are part of every evaluation.

This practice does not guarantee specific medications and does not provide early refills, replacement prescriptions for lost or stolen medications, or prescriptions without appropriate clinical evaluation.

4. Appointment Attendance & No-Shows

Scheduled appointment times are reserved specifically for you.

If you are unable to attend:

  • Advance notice is required per the financial agreement.

  • Repeated late cancellations or no-shows may result in discharge from the practice.

Telehealth visits require:

  • Being physically located in a state where the provider is licensed

  • A quiet, private environment

  • Reliable internet connection

  • Being present and available at the scheduled time

5. Patient Portal & Electronic Communication

The patient portal is intended for:

  • Administrative questions

  • Appointment requests

  • Non-urgent medication questions

The portal is not for emergency communication.

Messages are reviewed during business hours. Response times may vary and are not immediate.

In case of emergency, call 911 or go to the nearest emergency room.

6. Scope of Practice

This practice provides outpatient psychiatric evaluation and medication management.

It does not provide:

  • Emergency services

  • Court-ordered evaluations

  • Disability determinations

  • Custody evaluations

  • Prescriptions solely for legal or administrative documentation

Referrals may be provided when needs fall outside the scope of this practice.

7. Therapeutic Fit

A strong therapeutic alliance is important for effective care. In some situations, it may be determined that this practice is not the best clinical fit. The provider reserves the right to decline initiation of services or discontinue care when clinically appropriate, when safety concerns arise, or when practice policies are not upheld. When possible, referral resources will be provided.

By scheduling and attending services, patients acknowledge understanding and agreement with these policies.
